Automated monthly billing

Hot on the heels of yesterday’s investment and new brand information, I’m pleased to announce that we’ve updated the billing system so that you don’t need to dig out your credit card each month.

The next time your bill is due, you’ll still get a popup but this time it will be to set up a subscription that recurs automatically every month – saving loads of hassle for both you and us. Of course you have the ability to cancel at any time, and upgrade/downgrade whenever you like.

Pearl and Googlemail working in perfect harmony

Finally, a world beating CRM integration for Googlemail.

We’ve worked with the guys over at Rapportive to bring you a first in Web 2.0 business integration – full two way data transfer between your Pearl business management system and your Googlemail inbox.

Gmail CRM integration

Of course, email integration doesn’t stop there. You can set up your Pearl account to send all outgoing email via your Google server, so that emails sent from within Pearl appear in your Gmail conversations. You can add filters to your Gmail account so that all incoming emails (from you AND all your colleagues) are copied into the contact timeline in Pearl, so you can be sure you’re working with the most up to date information. We’ve updated the Pearl email dropbox!

You can use your Pearl email dropbox to keep a copy of all communications on the relevant contact timeline, whichever email software you use.  That’s really handy if you need to access a full contact history, or need to share information between team members without CC-ing everyone all the time.

Back in the early days of 2009 you had to set up a separate dropbox email account that Pearl connected to, and copied all the emails over. Now it’s much, much simpler.

All you need to do is CC or FWD to your dropbox email address. That’s it! Nothing to set up.

Find your dropbox email address at Setup:Options:Contacts. For detailed information on the dropbox system, read more here. Email is a fickle beast, and we’ve tested the system on as many different email clients as we can get our hands on, from Hotmail through Thunderbird, Mac, PC, Linux… but if you spot emails not coming through, then please let us know via the Pearl helpdesk. Thank you :)

If you’re using the old dropbox method, please note that we will be turning this off on the 1st of March, so make sure you get into the habit of using your new one soon!

Changes to the way we bill for your account

We’ve had a lot of feedback from users who are frustrated with the monthly popup screen, where you need to enter your card details each time. We agree. It’s hassle that nobody needs. From March 1st, we’re going to be introducing automated repeat billing, so that you just get your Pearl invoiced to you each month with minimum fuss. We’ll charge the same card, which you’ll need to enter in the same way as before just one more time.

We are of course fully PCI compliant, your card details are not stored anywhere on our system. We will be using SagePay for card processing, a side effect of which will be the ability for you to take card payments from your clients and customers from within the Pearl screens using your own SagePay account, in the same way that the Secure Trading integration works.


Sending batch email from Pearl

You all know that we integrate with MailChimp for volume email marketing. For smaller mail-outs, you can use the contact list screen to batch email. This works to a point, and does allow you to merge more fields than the firstname/lastname only that the Mailchimp integration supports. The thing with sending from the contact list screen is that the mail is sent from our servers on behalf of your email address, which increases the risk of the mail being spammed, and also increases the risk of our servers not delivering key emails like invoices and statements.

If you want to use the contact list screen for batch emails, then you’ll need to set up your Pearl account so that emails are sent via your servers over SMTP. We’re letting you know that from the start of March (sooner for new accounts), you will only be able to send batch emails from the contact list screen if you have an SMTP account configured. We have a new video to show you how to set up your SMTP.

Gmail supports SMTP – setting up Pearl for SMTP is a great way to get your outgoing emails appearing in your Gmail sent items.

Pearl Web – the next phase : including one page checkout

So, as we mentioned before, the way that we handle Pearl websites is being updated. We’ve slipped a couple of weeks on this for various reasons, but one of the goodies that we’re going to be offering is a one page checkout process. This will only be supported on “phase 2″ websites, so get planning now if you want to be able to make use of the new features. It’s probably worth getting in touch with one of our design partners to see if they can upgrade your site for you:

Please make sure you earmark just a minute or two to have a look at the release notes on our website. It’s really good for you to know what’s happening. One update that we suggest you watch out for is the automatic selection of Tax codes when you are using the “create new entry” box in the bank statement matching screen.

Wordpress CRM / Contact form plugin

If you run a Wordpress blog or website, then you’ve probably got a “contact us” page to capture new leads. Excellent, that’s a great start. But what happens to those leads that come in from your site? You probably get an email sent to you, which you filter, respond to and then wait for a reply. You’re probably pretty busy, so if they don’t get back to you, then it’s unlikely that it’s going to turn into a deal.

How handy would it be if all your website contact form submissions appeared magically in a contact management system, with all the relevant information already filled out for you? Even better, let’s send the visitor a welcome email, perhaps even instructions for the next step that they should take. When you have time,  you visit your system, pick up the leads, and immediately you have all the information you need in front of you. If they’ve contacted you or bought from you before, then it’s easy to see what’s going on, who’s spoken to them and what their relationship is with your company.

It’s really easy to keep your new lead stack under control.

Just install the Pearl plugin for Wordpress, and your contacts will be captured directly into the CRM software. The plugin is a really simple, yet uber-powerful tool, available from Wordpress here. It inserts a Pearl Smartform into your blog or website, which you control from within your Pearl account.

Some of the awesome features are:

  • Tag incoming contacts
  • Assign contacts to staff members
  • Send an automated email reply
  • Send an SMS to yourself or a team of staff members
  • Trigger emails to yourself or your team
  • Add as many fields as you need, including custom fields
  • Set “required” options

So you’re talking to a client on the phone, or you’re working through a stack of business cards that you picked up from your last networking meeting. Ka-ping! Up pops a little picture of them in your CRM system to remind you who they are.

We’re now connecting into Gravatar to show people’s photos within your Pearl application.

Gravatar is a free service that allows you to upload, edit and publish a picture of yourself that will then automatically show on blog comments, and many other social media sites where you might want to have an identity.

It’s little things like this that really start to show how cloud computing sits in a different space from the traditional old installed applications. We’ve got Twitter and Linked-in information coming soon, hot off the web, live and direct into your CRM screens. You might want to have a look at our Wordpress and Eventbrite integrations too.

Is this an intrusion of privacy? No, not at all. It’s a service for web users to publish a global, consistent face without the need to manage multiple logins, different accounts and preferences.

We’re really excited to announce the latest mashup we’ve built – a really powerful integration with Eventbrite event management software.

Now, with just a few clicks, you can import your attendee list into Pearl online CRM, including your event questions and answers, booking information and ticket numbers. Once you’ve got your contacts in CRM, you can then make use of our other powerful tools, like Mailchimp integration and SMS messaging.

Following on from the launch of Pearl Office last month, we’re pleased to announce that we’ve got two new pay plans: Accounts only and CRM only, each at just £12 per concurrent user per month.

So, if you just want a web based contact management or accounting system, then you can start out here and then as your company grows, you can add more functionality later.

Pearl Office is the powerful end-to-end system that lets to manage new leads and sales all the way through to VAT return and management accounts in one system.

If you need stock control, purchasing or an integrated website, then you can add any of the extra modules. See the full feature list here.

If you’ve not signed up for a Pearl account yet, then you’ll start out on one of these plans. If you’ve already got an account with us, your system will be upgraded on or before the 1st January. For a full list of recent changes, see here.

Support multiple dealer lists on your website

If you’re a distributor using Pearl and you’re hosting your website with us, then you’re already benefiting from the business-to-business portal where your customers can place orders, view invoices, pay for quotes and download statements.

You can also list selected contacts on your website as “stockists”. This is currently handled using the “dealer” tickbox in the contact edit screen, and will soon be handled using public list tags. We’re letting you know now so that you can make any changes before we remove the “dealer” feature:

  1. Create a new tag for dealers
  2. Click Contacts:List dealers
  3. Select all the contacts, which will open the left hand menu
  4. Choose to add the dealer tag
  5. Submit

When your account is updated, you’ll notice that the “view dealers” link has disappeared from your admin system. At this point you can set the dealer tag to be a public list tag. All your “public list” tags will be shown on the stockists page on your website.

Support multiple brands

One of the advantages of doing it this way is that you can now have different public lists, perhaps one for each of the brands that you stock (contacts can have multiple tags, don’t forget).

If you have a Pearl website then your stockist page is at http://www.yourdomain.com/?p=stockists

We’re going to be adding more options to the stockists page on your website, as well as a “dealer profile” page too.

Pearl Office brings you a whole load of treats

So, we’ve been looking at what’s been good and what’s not so good in Pearl and have been busy … Pearl Office is a new Pay Plan that replaces Pearl Starter, and is designed to be better suited to companies that don’t have any stock control needs. Office costs £20 per concurrent user per month, a total snip for a completely integrated CRM and accounting solution.

Now this is a really nice one. We’d been toying with the idea of bringing some of the top end project management tools into the rest of Pearl, and for starters we’ve let you choose from a list of projects when you create quotes, sales and accounting transactions, at every pay plan above Express.

To set up your projects, go to the accounting zone and click “setup->projects”.  Only open projects are shown in the drop down menus. You can pull up a full profit and loss report for projects, using the filters in the report centre.

Long overdue, we’ve put a lot of effort into making the MailChimp email marketing integration neater and tighter. In addition to the open and bounce reporting we announced in September, you can now segment your lists using tags.

Managing your funnel : Contact Pipeline Stages

We have introduced 5 stages through which all contact leads will flow. This is in addition to the familiar contact “status”.

Suspect – Prospect – Lead – Customer – Failed

You can put all your statuses into one of these 5 stages, to make reporting simpler. Every time that a contact changes status, Pearl tracks this change. A number of reports are in progress that allow you to see the trending as contacts move down your sales funnel, and also reports that show you where on the funnel you are getting the most drop-off. We’ve been tracking all this data for you from day 1, so that soon everything will come burning out in full colour!

And also in the CRM space…

  • You can now choose from the “email 2″ and “email 3″ as your from email address when sending out emails from the popup window. Edit yourself as a staff member and add them in. Very handy.
  • Choose a short 11-character “from name” when sending SMS messages. Your company name is used and truncated to 11 characters otherwise.
  • Marketing “lead sources” are now managed in the report centre, in conjunction with a popup edit screen… and remember if it’s in the report centre you can export to Excel or PDF too.

Forecast your upcoming revenue

We’ve got a great new widget in the Sales area where you can see at a glance what you’ve got due from customers in the next few months. This uses the “weighting” figure that you can edit on sales and orders:

In the Accounting …

  • Upload OFX files from your online banking. No need to hassle with Excel any more – just wham bam and all your transactions are in Pearl, ready to be matched or quickly added to your accounts.

We’ve integrated with CreditCall for back-office credit card processing as well as SecureTrading. CreditCall do a great deal for just £30 a month which includes up to 300 transactions. One of the nicest things about the Creditcall integration is the ability to store the card information within the system to allow you to reprocess sales again without needing to capture card details a second time. This is how simple it is within Pearl:

Multi-stage payments now fully supported

Perhaps the biggest step forwards for many users is the ability for Pearl to handle multi stage payments, before and after the sale is invoiced. Whereas before you used to have to allocate payment to an invoice only after it had been raised, you can now record entries in your accounts as a Sales Receipt for an order or quote, at any date in time, with or without a matching invoice. As soon as the sale is invoiced, Pearl tidies up and allocates the prepayments to the correct invoice reference.

You’ve probably spotted the new buttons creeping in too. They will be spreading gradually around the system, as we can’t quite stretch to the man-hours required to blitz it in one go. The idea to to clean things up, make the UI nicer and also give us powerful features such as the hover-over “more” button in the sales quote screen:
